Controlling Specialist (m/f/d)
on a full‑time or part‑time basis (at least 20 hours per week for a 5‑day workweek) at one of our offices in Munich, Berlin, or Bonn.
You will work closely with the head of the staff unit and the chair of the Management Committee, while also serving as the point of contact for the existing secretariat (including providing support and coverage for administrative matters).
What to Expect—Your Responsibilities:
Preparation and formatting of business documents
- Preparation, formatting, and evaluation of business documents and concepts (e. g., key metric overviews, evaluations, ad hoc analyses, presentations for committee meetings)
- Structured presentation of complex issues in clear, audience‑appropriate formats
Collaboration on Management Committee projects
- Collaboration on Management Committee projects, e. g., in the areas of process optimization, digitalization, internal organization, and governance
- Supporting the planning, implementation, and follow‑up of projects (e. g., gathering requirements, facilitating workshops, compiling results)
- Continuously identifying opportunities for optimization in processes and structures, and assisting with the implementation of corresponding measures
Strategic and organizational support for the Management Committee
- Independent organizational and substantive support for the Chair and the Management Committee in day‑to‑day operations
- Preparation for and follow‑up on Management Committee meetings (agenda planning, gathering and preparing documents, creating presentations)
- Minuting meetings, structured documentation of resolutions and actions, and consistent tracking of to‑dos and deadlines
- Schedule, travel, and priority management for the Chair and members of the Management Committee
Support and Substitution for the Secretariat
- Supporting and substituting for the current assistant in administrative processes
- Professional correspondence in German, as well as document and file management
- Monitoring deadlines, tracking follow‑ups, and general office organization
What You Bring to the Table – Your Profile:
- A completed degree in business administration or a comparable business training program with relevant additional qualifications
- Initial to several years of professional experience in an assistant, staff, or project role—ideally at a law firm, professional services organization, or in a corporate environment with demanding stakeholders
- A highly structured, proactive, and forward‑thinking approach to work, as well as strong organizational skills
- A high degree of personal responsibility, reliability, and discretion when handling confidential information
- Strong business acumen and a passion for working with numbers, analyses, and reports
- Excellent written and spoken German skills; good English skills are a plus
- Proficiency with MS 365 (especially Outlook, Word, PowerPoint, and Excel); strong IT aptitude and willingness to learn new systems and digital tools
- High service orientation and strong communication skills, as well as the ability to communicate professionally, clearly, and in a manner appropriate to the audience with partners, managers, and internal stakeholders
- Ability to work in a team, openness to feedback, and interest in the continuous improvement of processes and work methods
- Flexibility and willingness to maintain a clear overview and set priorities sensibly, even under time pressure or when dealing with urgent requests
